QuickBooks Online makes remote bookkeeping possible, but it also makes it easy for providers to claim software familiarity without having a strong month-end process. The best QBO bookkeeper is not simply someone who can navigate the software; it is someone who can maintain a reliable accounting workflow inside it.
Start with the file, not the credential
A ProAdvisor credential can be useful, but ask how the person handles reconciliations, uncategorized transactions, payroll liabilities, merchant accounts, loans, sales tax, and month-end review. Real workflow matters more than a badge by itself.
Give the provider enough information to quote correctly
- Number of bank, credit-card, loan, merchant, and payment-platform accounts.
- Approximate monthly transaction volume.
- Whether payroll, inventory, sales tax, AP, or AR are involved.
- How many months are currently reconciled and accurate.
- Whether you need historical cleanup before recurring service.
Ask how access is managed
QuickBooks allows user-based access, which is preferable to sharing the owner’s login. Ask whether the provider uses named users, multi-factor authentication, and secure methods for statements and documents.
Evaluate the reports you will actually receive
At minimum, most owners should expect a reconciled profit and loss and balance sheet. Depending on the business, you may also want class, location, project, AR, AP, or cash-flow reporting. The bookkeeper should be able to explain which reports are reliable and why.
Check the handoff to your tax professional
Your tax preparer should not have to rebuild the bookkeeping every year. Ask how year-end questions and adjusting entries are handled and how the updated entries are returned to the QuickBooks file.
How to use this when comparing providers
Turn the points above into a short written scope before you request quotes. Two providers can give very different prices because they are assuming different responsibilities. A useful proposal identifies the recurring work, the normal close timeline, how questions are handled, and which services would be extra.
The goal is not to choose the provider with the longest service list. It is to choose someone whose process matches the complexity of the business and who can keep the records consistently reconciled, understandable, and ready for the owner and tax professional to use.
